Membership fees with Vipps: how the treasurer knows who has paid
Vipps is the easiest option for members: most people already have the app, and paying takes ten seconds. The downside for the treasurer is that ordinary Vipps payments to the club's Vipps number have to be checked by hand against the membership list. With a bit of structure, though, it only takes a few minutes.
The club needs its own Vipps number
In Norway, clubs and clubs register with Vipps MobilePay using their organisasjonsnummer (Norwegian organisation number), the club's bank account, and a person with signing rights. This gives the club a Vipps number that members can pay to. Never use the treasurer's private Vipps – it mixes the club's money with your own, and makes things hard to document.
The problem: the name in Vipps isn't always the member
In the payment report you see who made the payment, not who it's for. A mother pays for two children, a partner pays for both, and some people have a different name in Vipps than on the membership list. Without anything more to go on, reconciling the list becomes guesswork.
The solution: a reference in the message field
Give each member a short, unique reference and send it together with the amount and the Vipps number. Ask the member to write the reference in the message field when they pay. When you go through the report, you match the reference against the list and tick it off. This works just as well when one person pays for several members – the message then simply contains several references.
Send the message where the members already are
A ready-made text for each member can be sent by SMS, email, or through the club's usual channel. Keep it short: what the fee is for, the amount, the Vipps number, the reference, and the deadline. If the club also has a payment link from the bank or the Vipps portal, that can be included too.
Go through the report regularly
Set aside a few minutes each week during the collection period. Tick off those who have paid, and send a reminder to anyone still missing after the deadline. At the end, export the list and attach it to the accounts.

Does it cost members anything to Vipps money to the club?
No, it's free for the payer to Vipps to clubs, associations and companies. The club should check which terms apply to its own agreement.
Can we use Vipps and invoicing at the same time?
Yes. Many clubs let members choose. What matters is that all payments are checked off in the same list, no matter how they came in.
What if someone forgets the reference?
Match on name, amount and date, and ask the member if you're unsure. You can note in the reminder that the reference makes the treasurer's job easier.
