Reminder for membership dues: how to nudge members to pay
After the deadline, there's almost always someone who hasn't paid. Most people have simply forgotten. A short, friendly reminder to the right people gets most of it in – as long as you know who's actually missing.
Check the list before you send reminders
The worst thing that can happen is sending a reminder to someone who has already paid. Go through the payments from the Vipps report or your online bank and tick off everyone who has paid before you send anything. That way the reminder only goes to those who are actually missing.
When should the reminder be sent?
A good rhythm is one reminder a week after the deadline, and a final one a few weeks later. Don't send them too close together – a volunteer treasurer shouldn't come across as a debt collection agency.
What the reminder should include
Keep it short and friendly: what the dues are for, the amount, the club's Vipps number or account number, the member's reference, and a new deadline. Feel free to mention that it's easy to forget, and that they should just let you know if the payment has already been made.
Example you can use
Hi Kari! A friendly reminder about the membership fee for this season. We can't find your payment yet. Send it with Vipps to the club's number and write your reference in the message field, so I can see it is you. If you have already paid, just let me know. Thanks for being part of the club!
If someone can't pay
Many clubs have arrangements for members who are struggling financially, or can split the amount into installments. Feel free to mention that they can get in touch. It creates a better atmosphere than a third reminder, and the club keeps the member.
Frequently asked questions
Can the club charge a reminder fee for membership dues?
It depends on the club's bylaws (vedtekter) and what has been agreed with the members. Most small clubs choose not to, because a friendly reminder works and fees create bad vibes.
Should the reminder be sent by SMS or email?
Use the channel members actually read. SMS tends to get read faster, email is easier to find again later.
What do I do about members who never pay?
Bring it up with the board. The bylaws (vedtekter) often specify when a member is considered withdrawn.
